Who we are
AI Marketing Concierge ([registered company name], [registered address]) is responsible for the information described here. Questions or requests: [privacy@yourdomain.com].
What we collect
- Your name, email, phone number, company and role, when you give them to us.
- What you type or say to Sheila, and any files you upload for review.
- Enquiries you send us, and notes our team adds about our conversations with you.
- Basic technical information such as approximate location, device and pages visited.
Please don't paste other people's personal details, card numbers or passwords into the chat. If you upload a customer list, you remain responsible for that data.
Why we hold it, and on what basis
- To run the service and answer your questions — because you asked us to (contract).
- To match you with a specialist and follow up — our legitimate business interest.
- To send marketing emails — only with your consent, which you can withdraw any time.
- To keep records for tax and legal reasons — because the law requires it.
Who we share it with
Only the suppliers who help us run the service: hosting and database, the AI provider that powers Sheila's replies and voice, email delivery, and payment processing if you buy something. Each is contractually bound to protect your information and use it only for us. If you ask to be introduced to a specialist, we share only what's needed for that brief, and we tell you first.
We never sell your personal information or share it for advertising.
Where your information goes
Our suppliers include organisations in the United Kingdom, the European Union, the United States and Australia. Where information leaves your region we rely on approved safeguards such as standard contractual clauses and the UK addendum.
How long we keep it
- Chats and uploaded files: 24 months after your last activity, unless you delete them sooner.
- Contact records for enquiries that don't go anywhere: 24 months.
- Customer records and invoices: 7 years, for tax purposes.
- Marketing consent records: kept while you're subscribed, plus 3 years as proof.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or object to us using it — including opting out of marketing. Signed-in users can download a copy or request deletion from their account page. We'll respond within 30 days and never charge you for it.
Depending on where you live you may also have the right to complain to a regulator — the ICO in the UK, your local data protection authority in the EU, the OAIC in Australia, or your state Attorney General in the US. California residents additionally have the right to know, delete, correct and opt out of "sharing"; we do not sell personal information.
A note about Sheila
Sheila is an AI assistant. Her suggestions are a starting point, not professional advice, and she can be wrong. No automated decision is made about you that has a legal or similarly significant effect. Conversations are stored so you can pick them up later, and our team may review them to improve the service and handle your enquiry — every access is logged.
Children
The service is for businesses and is not intended for anyone under 16.
This is a plain-English draft written for clarity, not a substitute for legal advice. Have a qualified adviser review it — and replace the placeholder company details — before you rely on it.
